Enhanced Data Governance and Access Controls with Workflow Stage Restrictions

Restricting edit access in specific workflow stages allows users, such as sales managers, administrators, partner managers or deal coordinators, to control access to certain actions, such as Add, Edit, and Delete, for specific objects (e.g., Opportunities, Sales Plans, etc.) within the WorkSpan App. This access restriction can be applied based on the current stage of the object's workflow.

With this enhancement, users can define the access permissions for each workflow stage, restricting actions for specific sections and related objects. As an object progresses through different stages in the co-selling process, the permissions can be automatically adjusted, ensuring that only assigned stakeholders have edit access to the data during each stage.

Let's consider a scenario where Company A and Company B are collaborating on a co-selling initiative to target the technology services sector. As part of their co-selling workflow, they have various stages, such as "Discovery," "Proposal," "Negotiation," and "Closed-Won."

Here's how restricting edit access feature can be beneficial in this context:

  1. Data Security and Control: During the "Planning" stage, both companies may share preliminary information about their co-selling opportunities. Using this feature, they can restrict edit access to only authorized stakeholders, ensuring that sensitive data remains secure and is accessible only to those involved in the initial assessment.
  1. Deal Collaboration and Information Sharing: As the opportunity progresses to the advanced  stages, additional stakeholders may be engaged in preparing and refining the proposal. By adjusting the access permissions accordingly, the co-selling teams can collaborate effectively, sharing and editing information as required for the proposal development.
  1. Maintaining Data Accuracy: Once the opportunity reaches the "Negotiation" stage, both companies may want to ensure that critical deal terms are not altered without proper authorization. By restricting edit access to specific stakeholders, they can prevent accidental or unauthorized changes, maintaining data accuracy during crucial negotiation phases.
  1. Auditing and Compliance: The feature allows companies to have a clear audit trail of edits made at different stages. This transparency helps in ensuring compliance with co-selling agreements and maintaining accountability in the data management process.
  1. Efficient Workflow Management: By controlling edit access based on the Workflow stages, the co-selling teams can streamline their activities, ensuring that relevant data is accessible when needed, and changes are made with the appropriate approvals.

This feature provides an essential tool for data security, control, and efficient collaboration during co-selling initiatives. By customizing access permissions based on workflow stages, companies can maintain data accuracy, protect sensitive information, and streamline their co-selling processes. This capability enhances information sharing, empowers responsible data editing, and contributes to the success of joint sales efforts between partner companies.
